REFUND & CANCELLATION POLICY

IMPORTANT NOTE

This document is intended to operate alongside MMEE's Terms & Conditions and Privacy Policy. It is specifically designed to explain how cancellations, refunds, failed payments and related situations are handled for event-service Bookings made through Make My Event Easy.

This does not impose arbitrary cancellation percentages at this stage. The commercial framework will be finalized after MMEE confirms its payment/settlement model which as such would change time to time to include Provider contract, platform commission, payment-gateway rules and desired cancellation philosophy. This policy will also have compliance with applicable consumer, contract, payment, tax and e-commerce rules and regulations laws of the land.

1. Purpose and Scope

This Refund & Cancellation Policy (“Policy”) explains the general rules applicable to cancellation of event-related service Bookings and the processing of refunds through the Make My Event Easy Platform (“MMEE”, “we”, “us” or “our”).

This Policy applies to Customers using MMEE to request or book services from independent Providers, subject to the specific cancellation and refund terms displayed for the relevant service or Booking.

This Policy should be read together with the Terms & Conditions, the Booking confirmation and any service-specific cancellation terms presented to the Customer before confirmation.

2. Nature of MMEE's Marketplace

MMEE is a technology-enabled marketplace that may connect Customers with independent Providers of event-related services.

Unless expressly stated otherwise, MMEE is not the underlying supplier of the event service. The Provider is responsible for the performance of the service and for complying with the cancellation terms applicable to its service.

MMEE may facilitate booking, payment, communication, refund processing and dispute resolution without thereby assuming responsibility for the Provider's underlying service obligations, except where MMEE has expressly undertaken such responsibility or applicable law provides otherwise.

3. Cancellation Terms Must Be Disclosed Before Payment

Before a Customer completes a paid Booking, the applicable cancellation and refund terms should be displayed or otherwise made available in a reasonably clear manner.

Where a Provider has service-specific cancellation terms, those terms should be visible to the Customer before payment and should form part of the Booking.

A Customer should not be required to discover material cancellation charges only after payment.

4. Provider-Specific Cancellation Policies

Different event services may have materially different cancellation economics. For example, a venue, caterer, photographer, decorator, vehicle provider or individual service professional may incur different advance commitments.

MMEE may therefore permit approved Provider-specific cancellation terms, provided such terms are disclosed in advance, are not misleading, and comply with applicable law and MMEE's marketplace rules.

MMEE may establish minimum disclosure standards or a standard cancellation framework that Providers must follow.

5. Customer Cancellation

A Customer may request cancellation through the Platform or the designated MMEE support channel, subject to the applicable Booking terms.

The effective cancellation time will normally be the time at which the cancellation is successfully recorded by MMEE or otherwise acknowledged through an authorized channel.

The refund, if any, will be calculated according to the cancellation terms applicable to that Booking and any mandatory rights available under applicable law.

6. Cancellation of an Entire Event

Where an Event contains multiple services, cancellation of the Event does not necessarily cancel every individual service automatically.

Where technically supported, each service Booking may have its own cancellation terms, Provider acceptance status and refund calculation.

The Customer should review the cancellation consequences for each service before confirming cancellation of the entire Event.

7. Cancellation of an Individual Service

A Customer may, where the Platform permits, cancel one or more individual services without cancelling the entire Event.

The refund for the cancelled service will be calculated according to the applicable service/Provider cancellation terms and any applicable statutory rights.

Amounts already lawfully non-refundable under the applicable terms may be retained, subject to applicable law.

8. Provider Cancellation

If a Provider cancels a confirmed Booking, MMEE may assist the Customer with one or more of the following, depending on the circumstances and applicable policy:

  1. refund of amounts attributable to the cancelled service;
  2. assistance in identifying an alternative Provider;
  3. rescheduling where available and accepted;
  4. escalation of the Provider's account for marketplace action; or
  5. other remedy required under the Booking terms or applicable law.

A Provider's cancellation may result in marketplace penalties or suspension under the Provider Agreement, but such internal action does not necessarily determine the Customer's refund rights. The Provider’s refund policy, if any, also should be available to Customer before his booking so that his decision to book the service of the Provider is known to him.

9. Provider Partial Acceptance / Partial Rejection

Where a Provider accepts only part of a requested service or rejects part of a Booking, the Customer will be charged only for the portion accepted and confirmed, subject to the applicable Booking terms.

Where a previously accepted service is later rejected or becomes unavailable, MMEE may facilitate a refund or alternative arrangement in accordance with the applicable Booking terms and circumstances.

10. Provider Becomes Unavailable After Confirmation

If a Provider becomes unavailable after confirmation because of illness, equipment failure, staffing issues, double booking, business closure or another Provider-related reason, the Provider should promptly notify MMEE and the Customer.

MMEE may attempt to facilitate a suitable alternative. If the alternative is not accepted or reasonably available, the Customer may be entitled to a refund for the affected service according to the applicable Booking terms and applicable law.

Provider’s inability to provide the service after confirmation may levy penalty by the MMEE which will be clearly shown him at the time of registration and will be prominently available to him.

11. Customer Requests to Change Event Date

A request to change an Event date is not automatically a cancellation or a guaranteed rescheduling.

Date changes are subject to Provider availability and acceptance, cancellation policy and may result in additional charges, revised pricing or cancellation consequences.

Any material change should be confirmed through the Platform or another authorized MMEE channel before the Customer relies on the revised arrangement.

12. Force Majeure and Extraordinary Events

Events may be affected by circumstances beyond the control of Customers, Providers or MMEE, including natural disasters, extreme weather, epidemic or pandemic conditions, governmental restrictions, war, terrorism, civil unrest, major transportation disruption, venue closure or other force majeure circumstances.

Where such an event occurs, MMEE may coordinate with the Customer and Provider to determine whether rescheduling, partial refund, full refund, credit or another remedy is appropriate under the applicable Booking terms and law.

No party is automatically entitled to a particular remedy solely because an event is affected by force majeure; the outcome will depend on the Booking terms, circumstances and applicable law.

13. Refund Eligibility

A refund may arise from, among other circumstances:

  1. an eligible Customer cancellation;
  2. Provider cancellation;
  3. failure of a paid Booking to be successfully confirmed;
  4. duplicate or erroneous payment;
  5. a refund expressly approved by MMEE under its dispute process;
  6. a payment reversal or reconciliation issue;
  7. a service failure where the applicable policy provides a refund; or
  8. any other circumstance in which applicable law requires or permits a refund.

Eligibility does not necessarily mean that the full amount paid will be refunded. Any permitted cancellation charge, non-refundable amount, completed service amount, taxes or other lawful deduction may be taken into account.

14. Partial Refunds

Where only part of a Booking is cancelled, rejected, unavailable or not delivered, MMEE may process a refund limited to the affected portion, subject to the Booking terms.

Where a single bundled price covers several components, the applicable allocation method should be disclosed or determined according to the Booking terms and applicable law.

15. Non-Refundable Amounts

Certain amounts may be identified as non-refundable before payment, including Provider commitments, administrative charges or other disclosed amounts, where such treatment is lawful.

A “non-refundable” designation does not override mandatory consumer or statutory rights and should not be used to defeat a refund that is legally required.

16. Refund Calculation

The refund amount may take into account:

  1. amount actually paid;
  2. service(s) cancelled;
  3. time remaining before the Event;
  4. Provider-specific cancellation terms;
  5. amounts already committed or services already performed;
  6. disclosed platform or payment charges;
  7. taxes and statutory treatment;
  8. refunds already issued; and
  9. applicable law.

The final refund calculation should be shown or communicated to the Customer where reasonably practicable.

17. Payment Gateway Processing

Payments may be processed through third-party payment gateways, banks or financial institutions.

MMEE may initiate a refund through the relevant payment gateway after the refund has been approved. The time taken for the money to reach the Customer's original payment method may depend on the gateway, bank, card network or other financial institution.

MMEE cannot guarantee a bank's processing time, but will take reasonable steps to initiate eligible refunds within the timeframe specified by the applicable Booking policy or law.

18. Refund to Original Payment Method

Unless otherwise required or permitted by law, refunds will normally be made to the original payment method used for the Booking.

MMEE may require reasonable verification before processing a refund, particularly where there is a suspected fraud, account compromise, payment dispute or mismatch in payment information.

19. Failed Payment but Amount Debited

If a Customer's bank account or payment instrument is debited but MMEE does not receive a successful payment confirmation, the Customer should provide the transaction reference or other available evidence.

MMEE may reconcile the transaction with the payment gateway or bank. If the payment is confirmed as received but the Booking was not successfully created, MMEE will process the appropriate refund or apply the amount according to the Customer's confirmed instruction and applicable policy.

20. Duplicate Payment

Where the same Booking is accidentally paid more than once and the duplicate payment is confirmed, MMEE will arrange appropriate reversal or refund of the duplicate amount, subject to payment-gateway reconciliation and applicable law.

21. Chargebacks and Payment Disputes

Customers should ordinarily contact MMEE promptly about a disputed, duplicate or unauthorized transaction so that MMEE can investigate and resolve the matter.

Nothing in this Policy prevents a Customer from exercising rights available under applicable law or payment-network rules.

MMEE may provide transaction records and relevant information to the payment gateway, bank or competent authority where lawfully required.

22. Service Not Delivered or Materially Different

If a Provider fails to deliver a confirmed service, delivers materially less than the confirmed scope, or otherwise materially breaches the applicable Booking, the Customer should notify MMEE as soon as reasonably practicable and preferably before the Event concludes where the nature of the issue permits.

MMEE may request evidence, contact the Provider, investigate the matter and determine whether a refund, partial refund, alternative service, credit or other remedy is appropriate under the applicable Booking terms and law.

23. Complaints and Evidence

Customers should retain Booking confirmations, invoices, photographs, communications, payment references and other relevant evidence.

A complaint should include the Booking reference, Event date, Provider, service concerned, nature of the issue and the remedy requested.

MMEE may request reasonable additional information from the Customer or Provider to investigate a dispute.

24. Refund Processing Timelines

MMEE will publish or communicate the applicable expected processing timeframe for approved refunds once the final payment and operational model is established.

The processing period may consist of:

  1. MMEE's internal approval/reconciliation period; and
  2. the payment gateway/bank's crediting period.

The Customer will be informed where a refund is initiated, subject to technical availability and applicable law.

25. Taxes and Refunds

Where a refund affects GST or other taxes, the treatment will be handled in accordance with applicable tax law and the invoicing/transaction structure.

Where a Provider is the underlying supplier, the Provider may remain responsible for issuing or correcting its tax invoice or other tax document as required by law.

MMEE may retain transaction records necessary for tax and accounting compliance.

26. Cancellation by MMEE

MMEE may cancel or suspend a Booking where reasonably necessary for fraud prevention, payment failure, security, Provider unavailability, legal compliance, inaccurate information, technical failure or other legitimate reasons.

Where MMEE cancels a Booking for reasons attributable solely to MMEE and applicable law or the applicable Booking terms require a refund, MMEE will provide the applicable remedy.

27. Refunds for Promotional Offers / Credits

Promotional offers, coupons, credits or discounts may have separate terms.

Unless expressly stated otherwise, promotional credits are not necessarily refundable or exchangeable for cash.

Where a Booking paid partly with a promotion and partly with money is cancelled, the refund treatment will follow the specific promotion and Booking terms, subject to applicable law.

28. Abuse of Refund or Cancellation Process

MMEE may investigate suspected abuse, fraudulent refund requests, repeated false claims, manipulated evidence, unauthorized payment activity or other misuse of the refund process.

Where reasonably necessary and legally permitted, MMEE may suspend an account, restrict Transactions, withhold processing pending investigation and take other lawful action.

29. No Waiver of Statutory Rights

Nothing in this Policy is intended to exclude, restrict or contract out of any consumer protection, statutory refund right, payment-system protection or other legal right that cannot lawfully be excluded.

Where this Policy conflicts with mandatory applicable law, the mandatory legal requirement will prevail to the extent of the conflict.

30. Changes to this Policy

MMEE may update this Policy to reflect changes in law, payment arrangements, Provider policies, Platform functionality or commercial practices.

The version applicable to a confirmed Booking will be determined in accordance with the Terms & Conditions and applicable law. Material changes will be communicated where required.

32. Effective Date

This Refund & Cancellation Policy is effective from 12 August 2026.

ADVOCATE / PAYMENT-GATEWAY REVIEW CHECKLIST

  1. Confirm the exact MMEE legal entity and contracting structure.
  2. Confirm whether MMEE is only a marketplace/facilitator or also contracts as a principal for any categories of services.
  3. Finalize the commercial cancellation framework and Provider-specific cancellation rules.
  4. Decide whether MMEE will permit full, partial and service-level cancellations within a multi-service Event.
  5. Define the exact refund calculation formula and permitted deductions.
  6. Define platform fee/convenience fee treatment on cancellation and refund.
  7. Define payment-gateway charges treatment and whether any portion is non-refundable, subject to law.
  8. Confirm treatment of GST and tax invoices when a Booking is cancelled or refunded.
  9. Confirm refund initiation timelines and expected bank/payment-gateway settlement timelines.
  10. Align chargeback procedures with the selected payment gateway's merchant agreement.
  11. Confirm treatment of promotional coupons, credits and discounts.
  12. Confirm force-majeure cancellation/rescheduling rules.
  13. Confirm Provider cancellation and Provider-default consequences under the Provider Agreement.
  14. Confirm Customer dispute process and evidence requirements.
  15. Ensure all cancellation terms are displayed to the Customer before payment and acceptance is auditable.
  16. Ensure the website/app links this Policy prominently, especially at checkout/payment.
  17. Ensure the final Policy is consistent with the Terms & Conditions and Provider Agreement.
  18. Confirm all mandatory consumer-law rights and remedies are preserved.

RECOMMENDED CHECKOUT DISCLOSURE

Before final payment, MMEE should present the Customer with a concise summary such as:

“I have reviewed and agree to the Booking details, Provider-specific cancellation/refund terms, MMEE Terms & Conditions, Privacy Policy and Refund & Cancellation Policy.”

The exact wording and consent mechanism should be reviewed by the Advocate. The system should retain an auditable record of the version of the applicable terms/policy accepted by the Customer.
